# How to keep a daily work log: template and filled example

A useful work log answers three questions: what happened, when did it happen, and what happens next? You do not need to write a long report. Short entries made close to the event are easier to understand later than a summary reconstructed at the end of a shift.

## Start with a simple structure

Create one log for the day or project. Record a time, an observable action or event, and its result in each entry. Name people only when that detail is needed and appropriate. Separate what you observed from what you think it means. If you add a detail later, mark it as a later addition instead of making it look contemporaneous.

## Filled example: a routine equipment check

This fictional example shows the level of detail that makes a log useful. It is a writing example, not a record of a real workplace event.

- 09:10: Printer in room 2 displayed a low toner warning. Test page was faint.
- 09:25: Replaced the black toner cartridge. Kept the used cartridge for recycling.
- 09:40: Printed a second test page. Text was legible; no warning remained.
- 15:30: Added an open item for tomorrow: check whether the paper tray still jams under a larger print job.

## Close the day with open items

Before finishing, scan the entries for unresolved questions. Write the next action, an owner if known, and a useful deadline. A work log is easier to hand over when someone can see the current state without guessing from earlier messages. Do not put passwords, private customer details or sensitive health information into a general-purpose log.

## Keep the record usable
